An administrative assistant at our healthcare clinic is responsible to organize our patients’ facility functions. You will support day-to-day operations by performing administrative tasks and ensuring high quality customer service for our patients. Administrative assistant is usually the first people clients see in a highly service-driven environment. This is a unique role in that it combines both direct and indirect customer care duties. It requires a strong balance of administrative skills and interpersonal abilities.

As an administrative assistant, you will perform various tasks on a daily basis. So, you should be able to multitask and prioritize. We also expect you to handle sensitive information confidentially. If you are able to combine exceptional communication skills with an ability to perform ‘behind the scenes’ tasks, we would like to meet you.

Key Responsibilities 
?Customer service with patients, referring doctors and lawyers 
?answering the telephone and taking accurate messages 
?Update and maintain patients’ health records 
?Knowledge of healthcare operations 
?Billing on multiple software platforms 
?Assisting with planning, communicating and executing the event and wellness programs for the office. 
?Planning and maintenance of office budget, including responsibility for purchases and invoices. 
?Planning, communicating and supporting HR with employee initiatives as needed. 
?Responsible for website and marketing flyer development and execution 
?Operating computer medical software and office equipment

Qualifications and Skills 
?Excellent verbal and good written communications skills in English 
?Excellent customer service skills and strong interpersonal skills. Professionalism is also required and prior customer service or office experience is preferred. 
?Knowledge and understanding of medical terminology and insurance procedures to act as a liaison between the patient and the insurance agency. 
?A genuine passion and desire to serve customers and exceed expectations 
?Ability to multi-task efficiently 
?A creative mind with an ability to suggest improvements 
?Ability to manage stressful situations in a calm and tactful manner. 
?Strong knowledge of Microsoft programs 
?Excellent English literacy is required in addition to a compassionate and confident personality. 
?Weekend and Evening Availability (Considered a very strong asset)

?College Diploma (Required)

?1+ years experience as an administrative assistant in spa wellness field

?English (Required) 
?Knowledge of a second language is a plus
