The company has an immediate opening for 1 (one) experienced Financial Administrative Assistant. The candidate’s duties include, but not limited to:

  • Schedule correspondence, monthly expense reports, review incoming documents, etc.

  • Manage the calendars, schedules, appointments, and required travel for the Executive team.

  • Prepare meeting documentation, presentations, agendas, and catering as required.

  • Customer Service email inbox response, distribution & management.

  • Organize, correlate and file paperwork.

  • Handle phone calls, e-mails, and inquiries and ensure that queries are directed to the proper person.

  • Prepare, analyze and monitor financial reports on budgets, actual expenditures, and financial commitments.

  • Support the preparation of project close-outs, updating financial tracking sheet, uploading contracts and invoices in QuickBooks on a daily basis, customer tracking sheet.

  • Assist entering invoices in QuickBooks.

  • Assist entering customers and vendors data in QuickBooks.

  • Other office administration as required.

  • Data entry into Moraware scheduling and quoting software.

Job Description

Education: Secondary (high) school graduation certificate; accounting/bookkeeping courses will be an asset.

Requirements and qualifications:

  • At least 2 years of clerical or bookkeeping experience.

  • Excellent computer skills with knowledge of Microsoft Office Products.

  • Strong attention to detail and ability to thrive in a fast-paced environment.

  • Ability to identify priorities and take action before receiving direction from management.

  • Positive attitude, honesty, and strong work ethics are the must.

  • Customer service skills (answering of phones, emails, occasionally greeting of customers, processing of final payment).
